Project Overview

A medical equipment trading company based in Dubai, UAE was struggling to manage a large volume of stock with strict expiry date compliance requirements. Their entire inventory — spanning dozens of product categories, each tracked batch by batch — was being managed manually through Excel spreadsheets. As the business grew, this approach became unsustainable, error-prone, and a serious compliance risk. Forzateks was brought in to design and implement a fully automated, integrated solution built on the Zoho ecosystem.

The Problem

Every time a product arrived at the warehouse, staff had to manually type in the batch number, expiry date, and quantity into Excel  a slow and repetitive process that created serious operational and compliance challenges.

  • No automated way to track near-expiry products across hundreds of batches
  • Manual data entry caused frequent errors in batch numbers and expiry dates
  • No alerts system to flag products approaching their expiry threshold
  • Expired or near-expiry stock had no priority system — any batch could be picked for invoicing
  • Delivery notes and invoices had no automatic batch reference, breaking traceability
  • Risk of expired medical products reaching customers — a direct compliance and safety issue

Solutions

We designed and built a custom inventory management application using Zoho Creator, fully integrated with their accounting and invoicing workflows.

Staff now scan product barcodes on arrival — the system automatically fetches the batch number and expiry date from the barcode and logs the stock entry instantly, eliminating all manual data entry. Every batch is recorded in the system with its product name, batch number, quantity, and expiry date, giving the team complete real-time visibility over their entire inventory.

The system continuously monitors expiry dates in the background and automatically triggers alerts when any product approaches its expiry threshold — allowing the team to act proactively before stock becomes unsellable. When creating an invoice or delivery note, the platform automatically applies FEFO (First Expiry, First Out) logic — pulling the nearest-expiry batch first and auto-populating the correct batch number on every transaction, ensuring full traceability and compliance on every order dispatched.
